Avoid 2 Common Event Planning Pitfalls With These Strategies

Corporate event planning is something that you usually need to get right. Failing to do so can have a seriously detrimental effect on your business.

That’s why so many people prefer to hire a corporate events planner and ensure the whole event goes smoothly. There are simply too many variables and items that can be overlooked.

Fortunately, with a little planning you can be aware of the 2 most common event planning pitfalls and then take the right steps to avoid them.

  1. Budget

In order to create the best possible experience for everyone it can be easy to overspend on the small items and end up making a loss on the event.

This is commonly done when you’re not sure of the number of attendees and so plan food, drink and space for the maximum possible. This can mean seriously over catering if the event turns out to be half the size.

  1. Repeat Bookings

The worst thing that can happen when planning an event is that people don’t show up. This is especially disheartening if you have run the event before successfully.

If you haven’t organized the event to attract repeat bookings then the event will cost you substantially more than it should.

Strategies To Avoid These Pitfalls

Fortunately it is relatively easy to avoid these types of problems:

  • Real Time Ticket Sales

Your customers need to know exactly how many tickets are left; especially when numbers are starting to get low. This will encourage them to buy.

By having a real time ticket sales system you’ll be able to track the number of sales as they happen and stay on top of the attendee’s number. This will allow you to organize catering and other aspects with a guideline number and a final confirmation near the time; preventing you from going over budget.

  • Incentives

To maximize your repeat business you need to ensure your content I exciting and relevant. Several short presentations are always preferably to long ones. Your guests need plenty of time to interact with each other and consume the drinks and food on offer.

This will ensure they remember the occasion as a good thing; while learning.

You can also add incentives, such as a discount on the price or a free gift for returning member. Creating a membership program will help you to keep them up to date with all the latest activities.

Merge this with a discount or other incentive and you’ll have half your guests sorted before you even advertize your next event. That’s good business sense!

  • Know Your Audience

It is also essential that you know your audience and tailor the content to suit them. A group of young people probably won’t be interested in a rigid timetable. They will want time to interact with others and update their social status. If you give the audience the space and tie they need you’ll have all their attention for the presentations. That will help retention and repeat bookings.
